Why the Right Questions Save Time and Money
Most problems in private label manufacturing are not caused by bad intentions. They come from assumptions: the buyer assumed shipping was included, the factory assumed the sample formula could change, nobody wrote down the test method. Each one is cheap to clear up before an order and expensive to fix after.
Asking early also tells you how a manufacturer works. Clear, specific answers, given in writing, are a good sign. Vague answers to simple questions are worth noting.

Stage 1: Questions for Your First Inquiry
What is the MOQ for my product and packaging?
A good answer gives a number per SKU and explains what changes it. Minimum order quantities often depend on the format, the formula and the packaging, since a custom pouch or printed bottle can carry its own minimum. Who sources the raw materials?
Under an OEM arrangement, you usually supply the formula and the manufacturer sources the ingredients. Under ODM, you start from the manufacturer’s ready formulas. Ask which applies, where key ingredients such as the mushroom extract come from, and whether the source will stay the same between orders. Can you make my format in-house?
Name the format you plan to launch first, whether that is capsules, powders, gummies, tinctures or a drink mix, and ask whether it is made on site. If any step is subcontracted, you want to know before you order, not after.
Which certificates cover my product and my market?
Ask for certificates in the factory’s own name and check that their scope covers your product. Then ask what documents the factory has prepared for clients in your market. How quickly will I get a quote, and what will it include?
Ask what the price covers: raw materials, packaging, testing and shipping terms. Two quotes are only comparable if they include the same things. Our sales team replies within 2 business days, and a quote usually follows within 1 to 3 business days of receiving your requirements.
Stage 2: Questions About Samples
Are samples free, and who pays for shipping?
Policies vary. Herbal Treasure provides free samples for evaluation, and the client covers the shipping cost.
How long will samples take?
Ask for a date, not a range of possibilities. Our standard samples take 5 to 7 days, and custom ODM samples take 7 to 14 days.
Will the sample match the production specification?
This is the question many buyers forget. Ask whether the sample uses the same formula, raw materials and process as the production run, and ask for the specification it was made to. If anything will differ at production scale, you want that explained before you approve the sample.
Stage 3: Questions Before You Sign the Purchase Order
What will the specification and COA cover?
Agree the marker compound and its level, the test method, and the limits for heavy metals, pesticide residues and microbiology. What are the lead times, in writing?
Ask for production and shipping times separately. Our standard production takes 15 to 20 days, and deeply customized projects take 4 to 6 weeks. International air or express delivery takes 7 to 14 days, and sea freight takes longer. Label review, import clearance and marketplace approval can also affect your launch date, so build them into your plan.
What are the payment and shipping terms?
Ask how the deposit and balance are split, when each is due, and which shipping terms apply. The terms decide who pays for freight, insurance and import duties, and where responsibility passes from the factory to you. Agree them in the purchase order.
Do you keep retained samples, and for how long?
A retained sample is a portion of each batch kept by the manufacturer. If a question comes up after delivery, it can be tested again. We keep a retained sample from every batch for 2 years.
What shelf life will you support, and on what basis?
Ask what shelf life the manufacturer will put its name to and what it is based on. Our drink powders, for example, carry a 2-year shelf life when stored as directed. Confirm the figure for each product and format you order.
What happens if there is a problem after delivery?
Ask who answers technical questions, how complaints are investigated, and what documents you will receive. We provide ongoing technical support after delivery, and the retained sample and batch COA give both sides a shared starting point.
Can I Audit the Factory Before Ordering?
You can ask, and a manufacturer with nothing to hide will usually agree. At Herbal Treasure, video tours, factory visits and audits by clients or their third-party auditors are welcome. An audit is a good time to ask the questions above in person and see the answers in practice.
